How to ditch spreadsheets at your music academy (and live to tell about it)

A step-by-step guide for music academy directors who want to migrate from spreadsheets to a real system without losing data or weeks of work.

If you're reading this, you probably have one spreadsheet with your students' names, another with each teacher's schedule, and a WhatsApp group where nobody replies on time.

Welcome to the club. Most music academies start out exactly like this.

The problem isn't that you're disorganized. The problem is that spreadsheets weren't built to manage an arts academy. They don't understand makeup classes, they don't deduct class packages, they don't calculate payroll based on attendance. You're asking them to do something they were never made for.

This guide walks you through migrating without the trauma.

Why spreadsheets fail music academies

The makeup class problem

A student misses her Tuesday piano class. The teacher also has to cancel the following Thursday. Now you have two pending makeup classes, each with different conditions.

How do you track that in a spreadsheet? A new column? A separate tab? A WhatsApp message to the teacher?

Three weeks later, nobody remembers which makeup already happened and which didn't.

The class package problem

You have students on packages of 8, 12 and 16 classes. Every time they attend, you have to deduct manually. Miss a week and the count goes wrong — the student ends up taking classes they didn't pay for, or paying for classes they already took.

The payroll problem

You have 6 teachers. Each with a different model: some are paid per class, others have a fixed salary, one has a mix of both. Calculating month-end payroll means reviewing every schedule, counting classes taught, checking cancellations, subtracting unexcused absences.

What you need before migrating

This isn't about throwing out your spreadsheet overnight. It's about migrating in an orderly way.

Before switching systems, consolidate this information:

Active student list:

  • Full name
  • Billing model (package or monthly)
  • Classes remaining in the current package
  • Date of last payment

Teacher list:

  • Name
  • Payment model (per class or fixed salary)
  • Rate

Current schedule:

  • What classes are scheduled
  • What's recurring vs. one-off

The migration, step by step

Week 1 — Set up without pressure

Create your account. Don't cancel your spreadsheet yet. During the first week, set things up in parallel:

  1. Add your teachers (name, payment model, rate)
  2. Add your students from the XLSX exported from your current spreadsheet
  3. Set up class categories (Piano, Guitar, Dance, etc.)

Week 2 — Build the schedule

Create the recurring classes. Start with one teacher, verify the schedule looks right, then move on to the rest. You don't have to migrate everything at once.

Week 3 — Turn on attendance and billing

This is the key week. Start using digital roll call. Packages deduct themselves. Payments get recorded in the system.

You can still keep your spreadsheet as a backup this week if it gives you peace of mind.

Week 4 — Close the spreadsheet

At the end of the fourth week, calculate payroll from Clavens'app. Compare it against your manual calculation from previous weeks. If they match, you no longer need the spreadsheet.

What changes afterward
