Makeup classes at a music academy: how to manage them without losing control
A practical guide for academy directors: how to handle makeup classes for canceled sessions without relying on WhatsApp, losing track, or clashing with teachers and students.
There's a moment that repeats without fail at every music academy: Tuesday afternoon, a student cancels over WhatsApp. Thursday, the teacher does the same. Now you have two pending makeup classes with different conditions, and somewhere — a chat, a note on a phone, a sheet stuck to the fridge — there's a record that it happened.
Three weeks later, nobody remembers which makeup already happened and which didn't. The student says they're still owed one. The teacher says they already taught it. The director can't settle it because there's no proof of anything.
That's makeup-class chaos. And it's avoidable.

Why makeup classes are so hard to manage
Makeups are hard because they combine three constantly-changing variables: the student, the teacher and the schedule. A makeup isn't simply "teach the class at another time" — it involves:
- Knowing the original class was canceled and why
- Deciding whether a makeup applies (per the academy's policy)
- Finding an alternate time slot that works for both
- Recording that the makeup happened
- Making sure it doesn't affect the student's package count
When all of this lives in WhatsApp conversations or in the director's head, sooner or later something gets lost.
The policies every academy needs to define
Before thinking about systems, you need clear rules. Many makeup-class conflicts aren't management problems — they're policies that were never communicated.
When does a makeup apply?
Clearly define which cases earn a makeup and which don't:
- Cancellation with sufficient advance notice (24h or 48h): a makeup usually applies
- Last-minute cancellation (less than 2 hours' notice): many academies don't offer a makeup
- No-show with no notice: no makeup applies
- Cancellation by the teacher: a makeup always applies (it's the academy's responsibility)
The criteria are yours to set. What matters is that it's written down and that everyone — teachers, students and parents — knows it from the moment they enroll.
How long does the student have to take the makeup?
Setting an expiration for makeups prevents them from piling up indefinitely. The most common window is 30 calendar days from the canceled class. After that, the makeup expires.
Without a clear expiration, a student can show up six months later claiming a makeup from March.
How do makeups affect the class package?
If the student pays by package, a class canceled by the teacher shouldn't deduct from the balance. The deduction should only apply when the class is actually taught. This seems obvious, but if the system doesn't handle it automatically, it's easy to get wrong.
How to record makeups correctly
Regardless of the system you use, the minimum record you need for every makeup is:
- Original class: date, teacher, student, reason for cancellation
- Who canceled: student or teacher (determines whether a makeup applies)
- Makeup status: pending / scheduled / completed / expired
- Makeup class: new date, new time slot (once scheduled)
With this record, you can answer any question without relying on anyone's memory.
The problem with managing makeups over WhatsApp
WhatsApp is fast and everyone has it. The problem is it wasn't built to run a business's operations.
When makeups live in WhatsApp chats:
- There's no clear status: has it already happened, or is it still pending? To find out, you have to read the whole chat.
- There's no history per student: to know how many pending makeups a student has, you have to search across three different conversations.
- Conflicts have no evidence: when there's a discrepancy, nobody can prove anything.
- The director becomes the bottleneck: all communication runs through one person.
What changes when there's a system
With the right management system, makeup classes stop being a source of conflict and become a routine process.
